Account: The Company-Wide Entity

The Account is the foundational unit that represents the entire organization. Each Account can have one or more Admins responsible for managing the system. Admins have the authority to create and configure Mailboxes, which serve as distinct workspaces tailored to specific needs. Admins can also add users to those mailboxes and set up the user permissions and roles.

Mailboxes: Tailored Workspaces

Mailboxes function as dedicated workspaces that can represent different projects, departments, or functions within the organization. The document exchange can happen between different mailboxes within the organization and with external users. Documents can be sent directly to individual users or entire mailboxes, making it easy for all members within a mailbox to access and collaborate on essential documents.

Each mailbox can contain its own set of templates. For instance, the Legal department may have its mailbox containing templates for contracts, agreements, and compliance documents. This dedicated space ensures that all relevant templates are easily accessible to team members, streamlining their workflow.

While everyone working within the mailbox may access its contents, their specific responsibilities can vary, leading to the need for tailored permissions.

Users: Individuals Involved Within the Entire Account, One or Multiple Mailboxes

Users are individuals assigned specific roles and permissions within an entire account, one or multiple mailboxes. Account Admins add users to the account/mailboxes and can grant them different permissions based on their organizational roles. Let’s discuss user roles and permissions in a bit more detail.

User Permissions and Collaboration

One of the standout features of DocStudio is the ability to set granular permissions for each user, allowing Admins to customize access levels based on individual responsibilities. For example, an Admin can restrict a user to only utilizing the existing template library while granting another user the ability to create and modify templates. This level of flexibility enhances security by ensuring that sensitive information is only accessible to authorized personnel.

Admins can control actions such as who can view, send, create, or delete documents, dictionaries, and other resources. Permissions can be updated in real time, accommodating changes in team structures or project needs. This ensures an organized workflow, where sensitive information is shared only with those who need it.
